Challenge
Space Maintenance was running jobs through WhatsApp threads, email chains, paper RAMS forms, and photo folders scattered across individual phones. Compliance rules existed only on paper, with no way to actually enforce them, and assembling an evidence trail for a disputed claim meant manually chasing all four of those sources at once.
Approach
We built one platform covering the full job lifecycle, from a surveyor creating a claim through to final sign-off, on Supabase and Postgres, with WhatsApp and email notifications (via Brevo) replacing manual chasing, and a structured on-site visit form that makes the compliance steps part of the workflow itself rather than a separate checklist.
What we built
- Job creation with claim essentials captured by surveyors at the start, not reconstructed later
- Client and contractor profiles with accreditation documents attached directly to the record
- Instant WhatsApp and email job notifications, and direct contractor quoting from a mobile link
- A six-step on-site visit form, RAMS, before photos, progress, after photos, sign-off, completion, saved as you go and resumable across days
- Read-only, tamper-proof records once a job is marked complete
- Incident reporting with escalation logic and RIDDOR screening built in
- A complete, exportable audit trail for every job

Outcome
Quoting now begins the moment a job is created instead of days later. Compliance is enforced by the workflow itself rather than chased manually, jobs scale without a per-seat pricing penalty, and every completed job carries a permanent, tamper-proof evidence trail. This is an internal operations tool with no public listing; it is presented as project work.
